Accountabilities
In this role, you will manage end-to-end payroll operations while ensuring compliance across multiple jurisdictions and supporting scalable people operations. You will partner with cross-functional teams to improve processes, maintain accurate records, and deliver a seamless payroll experience for employees.
- Own and oversee payroll processing operations, ensuring accurate and timely employee payments, including variable compensation and incentive payments.
- Manage multi-state payroll compliance, including registrations, tax filings, regulatory requirements, and responses to agency notices.
- Administer payroll systems and HR technology platforms, ensuring configurations, workflows, and processes support business needs.
- Manage variable compensation processes, including compensation documentation, payment validation, and annual salary benchmarking initiatives.
- Support compensation strategy by analyzing market data, maintaining salary bands, and identifying opportunities for improvement.
- Lead payroll audits, including annual payroll system reviews, 401(k) compliance testing, and external audit support.
- Manage retirement plan administration, including digital 401(k) platforms and required compliance activities.
- Oversee Workers’ Compensation administration, unemployment claims, and Department of Labor inquiries.
- Support business expansion into new states by coordinating registrations and implementing jurisdiction-specific payroll requirements.
- Maintain employee timekeeping processes, provide training on payroll practices, and serve as a trusted resource for payroll-related questions.

The ideal candidate is an experienced payroll professional with strong knowledge of multi-state payroll operations, compliance requirements, and modern payroll technologies. You should be detail-oriented, analytical, and comfortable managing complex processes independently in a remote environment.
- 7+ years of progressive payroll experience, including significant multi-state payroll responsibilities.
- Proven experience managing payroll compliance across multiple state tax jurisdictions.
- Advanced experience with modern HRIS and payroll platforms such as Rippling or similar systems.
- Hands-on experience administering digital 401(k) platforms and supporting retirement plan compliance.
- Strong proficiency in Excel or Google Sheets, including formulas, pivot tables, data analysis, reconciliation, and reporting.
- Deep understanding of payroll compliance requirements, including tax filings, ACA reporting, W-2 compliance, 401(k) testing, and audit processes.
- Experience with Workers’ Compensation regulations and state-specific payroll requirements.
- Strong analytical skills with the ability to identify discrepancies, improve processes, and prevent payroll issues.
- Excellent communication skills with the ability to collaborate effectively with People, Finance, Legal, and employees.
- Ability to manage multiple priorities, work independently, and operate effectively in a fast-changing environment.
- Experience supporting healthcare, clinical, or billable-hour payroll structures is a plus.
