We’re a fun, fast-paced, and forward-thinking team, and we’re looking for a Recruitment Coordinator to join and help us deliver exceptional experiences for both candidates and clients.
YOUR MISSION
Your mission (should you choose to accept it) is to manage the end-to-end candidate journey, ensuring every prospective hire has a seamless, efficient, and downright delightful experience. From initial outreach and interview coordination to task assignments and final decision communication, you’ll be clicking away at your keys behind the screen, keeping candidates organized, informed, and engaged. You’ll also play a key role in nurturing high-potential talent and optimizing our recruitment processes, helping Prosana continue to deliver top-notch results for our clients.
This is a full-time contractor (self-employed) position.

How You’ll Spend Your Time
- Be the friendly face (or email) of Prosana, keeping candidates updated, scheduling interviews, and delivering decisions with empathy and clarity
- Keep our ATS (Recruiterflow) organized and up-to-date, tracking candidate statuses, notes, and feedback
- Create and distribute assessment tasks, ensuring candidates know what’s expected and delivering feedback that’s both constructive and kind.
- Help configure and optimize various outreach tools, making candidate outreach smoother and a good experience
- Help source our amazing candidates on LinkedIn and other platforms, sending personalized messages that make candidates excited about new opportunities
- Collaborate with recruiters, hiring managers, and other stakeholders to keep everyone aligned and the hiring process running
- Keep the recruitment pipeline organized in Asana, ensuring smooth handoffs and no candidate falls through the cracks
Who You Are
- Experience: You’ve got hands-on experience working in startups or environments where you have to manage multiple clients and complex projects simultaneously
- Super organized: You can juggle multiple tasks, candidates, and deadlines without breaking a sweat
- A communication pro: You excel at clear, empathetic communication, making candidates feel valued and informed every step of the way.
- Tech-savvy: You’re comfortable with a variety of different tools for communication and productivity, and are able to pick up on new ones fast
- A process optimizer: You love finding ways to streamline workflows and make things run more efficiently
- A lifelong learner: You’re always curious, staying updated on recruitment trends and best practices
- Lean and mean: You appreciate lean work methodologies and actively seek ways to optimize your day-to-day tasks
