About the Role
We're looking for a Client Success IT Specialist to own our internal IT operations and the technical foundation behind our Talent Success team.
This isn't a traditional help desk position.
We're looking for someone who takes ownership of our systems, keeps our team productive, improves processes, and prevents problems before they happen. You'll be responsible for the technology, documentation, automations, and operational workflows that keep our VAs and internal teams running smoothly every day

Your Mission
Own the technical infrastructure and operational backbone behind Talent Success. Keep our systems reliable, our data clean, and our processes documented, so VAs get set up right, teams move fast, and nothing breaks the experience.
What You'll Own
- Own the IT strategy and roadmap for a fully remote company — not just execution, the decisions.
- Design and govern our Google Workspace architecture: provisioning, permissions, security groups, and access policies.
- Own the full onboarding/offboarding lifecycle — design the process, not just run through a checklist.
- Own the systems architecture behind Hubstaff, Zoho, Notion, and other internal tools — integrations, permissions, and how they talk to each other.
- Own data integrity as a system, not a task: define the standards, build the checks, catch problems before they show up in a report.
- Design and own our dashboards, trackers, and reporting infrastructure — decide what gets measured and how.
- Own IT documentation as a living system: SOPs, workflows, and knowledge base that scale as we grow, not a one-time write-up.
- Proactively identify operational bottlenecks and own the fix — recommend and implement automations, not just flag issues.
- Own our security posture: set the standards, monitor compliance, and close gaps before they become incidents.
- Own vendor relationships end-to-end — evaluate, negotiate, and manage escalations.
- Own technical training for the team — build the systems that make people self-sufficient, not just answer their questions.
- Continuously evolve our IT infrastructure as the company scales — this role grows the systems, it doesn't just keep the lights on.

You're the Right Person If
- 3-5+ years of hands-on experience managing business IT systems, user access, and technical operations. Experience independently owning IT environments for remote teams is strongly preferred.
- Your English is exceptional, written and verbal
- You're comfortable owning data integrity, dashboards, trackers, and reporting tools
- You document well, SOPs, workflows, and processes that people actually use
- You're highly organized, and nothing falls through the cracks on your watch
- You handle confidential information with discretion
- You stay calm and resourceful when something breaks
- You thrive in fast-moving, entrepreneurial environments, not corporate ones
Bonus Points If
- You're familiar with Hubstaff, Zoho, Google Workspace, Notion, or ticketing/CRM tools
- You've worked with U.S.-based clients or teams
- You have experience with light automation or no-code tools
- You have exposure to the insurance industry
