About the Opportunity
We are hiring a hands-on Operations Director to lead the operational backbone of Your Other Half.
You will partner closely with our CEO to own how the business runs, remove operational bottlenecks, and build the systems needed to scale. Your work will span client operations, financial workflows, technology, internal people operations, reporting, and team execution.
This is not a traditional administrative role or a position for someone who only wants to operate at a high level. We need a builder who can take work that depends on manual effort or CEO involvement and replace it with clear ownership, thoughtful automation, and consistent follow-through. AI fluency is essential. We are looking for someone who has already built operational automations using AI, no-code, low-code, or workflow tools. You should know how to evaluate a process, improve it, and build a reliable solution that saves time without compromising quality.
We are beginning to implement the Entrepreneurial Operating System, or EOS, and strongly prefer someone who has worked inside an EOS company. You should be comfortable with Rocks, Scorecards, Level 10 Meetings, accountability, documented core processes, and solving issues at the root.
What You’ll Own:
Client Operations
- Own the operational client experience from signed contract through offboarding
- Coordinate contracts, invoices, onboarding documentation, file setup, permissions, and access
- Manage contract updates, addenda, and operational client questions
- Build a polished and consistent onboarding and offboarding experience
- Remove administrative bottlenecks for the client service team
- Create scalable workflows without making the client experience feel impersonal
Billing and Financial Operations
- Coordinate monthly invoicing and review invoices for accuracy
- Track accounts receivable and lead follow-up on overdue payments
- Partner with our external bookkeeper on reconciliation, reporting, and monthly close
- Address client billing and contract questions
- Improve payment and accounts-receivable systems
- Give the CEO a clear and reliable view of financial operations
- Ensure vendors are set up and paid accurately and on time
Systems, Tools, and SOPs
- Oversee platforms such as Asana, Slack, Zoom, Google Workspace, Harvest, and 1Password
- Manage access, implementation, renewals, contracts, and vendor negotiations
- Improve how the team uses existing tools before introducing new ones
- Identify and prioritize processes that need documentation
- Write clear, practical SOPs that people will actually use
- Build SOPs into Asana templates, Slack reminders, automated workflows, and other systems
- Train the team and establish accountability for adoption
- Reduce reliance on tribal knowledge and manual reminders
Internal People Operations and Culture
- Prepare offer letters, compensation letters, job descriptions, and internal documentation
- Coordinate benefits, leave administration, PTO tracking, and handbook updates
- Support performance and compensation review cycles
- Maintain organized and accurate employee records
- Coordinate internal onboarding and offboarding
- Plan weekly team meetings and quarterly virtual retreats
- Manage budgets for recognition, celebrations, and team events
- Celebrate birthdays, anniversaries, milestones, and team wins

Reporting and Business Insights
- Organize and maintain the company’s internal filing and documentation systems
- Build Scorecards and reporting around client health, team capacity, financial operations, errors, and business KPIs
- Establish a consistent reporting cadence for the CEO and management team
- Surface risks and operational issues before they become larger problems
- Build dashboards that give leadership reliable visibility into the business
- Support operational planning and capacity modeling
AI, Automation, and Operational Systems
- Identify repetitive, manual, or error-prone workflows across the business
- Design and build AI-enabled, no-code, and automated systems
- Automate workflows such as client onboarding, contract execution, invoicing, reporting, task management, and recurring requests
- Connect tools and information so work moves smoothly across the company
- Evaluate technology based on business value, security, usability, and return on investment
- Lead implementation, training, adoption, and ongoing support
- Monitor automations and improve them as the business evolves
- Own tool access, licenses, renewals, vendor relationships, and technology spend

EOS Execution and Accountability
- Support the company’s Rocks, Scorecards, Level 10 Meetings, and operating rhythms
- Build reporting that helps leaders identify issues early
- Ensure commitments do not disappear between meetings
- Help the team document, follow, and improve core processes
- Maintain visibility into priorities, capacity, risks, and unresolved issues
- Strengthen accountability without creating unnecessary bureaucracy
Legal Coordination
- Coordinate with our CEO and external counsel on contracts, policies, and legal projects
- Track updates to client agreements, website terms, and privacy policies
- Maintain visibility into outstanding legal items and follow up through completion
- Build systems for tracking recurring obligations, renewals, and registrations
What Success Looks Like:
Within Your First Six Months
- New clients move through a standardized contract, invoicing, and onboarding workflow without CEO involvement
- The internal filing system is organized, intuitive, and consistently used
- At least three meaningful processes have been converted into reliable AI-enabled or automated workflows
- Core SOPs are documented and adopted across client onboarding, billing, contracts, offboarding, and PTO
- EOS operating rhythms are supported by clear ownership, reporting, and follow-through
- The team has dependable systems for accessing information and completing recurring work
- The CEO is spending less time managing routine operational tasks
Within Your First Year
- AI and automation are embedded into how Your Other Half operates
- Internal HR, reporting, billing, and tool-management processes run on a consistent cadence
- Leadership has dependable Scorecards and operational reporting
- Client payment and accounts-receivable systems have improved
- Core company processes are documented, followed, and continuously improved
- The company has stronger visibility into capacity, risks, and business performance
- A measurable amount of CEO time has shifted toward strategy, clients, and growth

AI and Automation Experience
Candidates should be prepared to discuss:
- An operational automation they personally designed and built
- The tools they used and why
- The manual process the automation replaced
- How they tested, documented, and maintained the workflow
- The measurable improvement in speed, accuracy, cost, or capacity
- How they encouraged adoption from the people using the system
Experience with tools such as ChatGPT, Claude Cowork, Asana, Slack workflows, Google Workspace automations, or similar platforms is valuable. We care less about one specific platform and more about your ability to assess a problem and build a practical solution.
Compensation and Classification
- Base salary: $100,000 annually
- Bonus opportunity: Discretionary annual bonuses
