Key Responsibilities
Act as department's first point of contact for all HR related queries and escalate as needed
Manage all HR admin tasks related to employee onboarding and offboarding including contract drafting and submission

Ensure all employee data in HR systems is kept clean and updated according to company policy
Liaise with internal stakeholders including People & Culture team and management
Prepare and process monthly payroll with accuracy and compliance
Collate payroll information including benefits administration and prepare monthly reports
Prepare contracts and addenda for role changes, titles, reporting lines, training and agreements
Manage employee leave balances and maintain accurate records
Stay updated on employment laws and recommend process improvements
Escalate people issues to People & Culture Manager
Assist in ongoing people-related projects

As our People Ops Coordinator, you will have the opportunity to work within the very core of our People team. You will be involved in important day to day administrative tasks and have the chance to support wider people and business projects. You will work as part of a team and will need to be proactive in providing the best possible support to stakeholders. You will have the opportunity to make this your own and ensure that we support the business in a work-smarter-way.

Requirements

  • Act as the department's first point of contact for all HR related queries and escalate if and, as needed
  • Responsible for all HR admin tasks related to employee onboarding & offboarding, including drafting of contracts, submission of forms, relocation, dealing with internal stakeholders and government departments
  • Support employees in need of a new work permit or a renewal
  • Ensure that all employee data in all HR systems is kept constantly clean and updated according to company policy
  • Liaise with several internal stakeholders including the rest of the People & Culture team and management
  • Prepare and process monthly payroll with accuracy, adhering to payroll policies and ensuring compliance with relevant laws.
  • Collate information related to payroll, including benefits administration, and prepare monthly reports for payroll processing
  • Prepare contracts and addenda related to changes in roles, titles, reporting lines, training and other agreements
  • Assist in managing employee leave balances, maintaining accurate records, and ensuring compliance with company policies and legal requirements
  • Prepare periodical reports & statistics
  • Stay updated on relevant employment laws, regulations, and industry best practices to ensure compliance and recommend process improvements
  • Ensure all policies, procedures and guidelines are being adhered to and suggest operational improvements
  • Escalate people issues to the relevant People & Culture Manager
  • Assist in ongoing, people-related projects

About you:

  • Proven experience in Payroll & HR administration or a similar role
  • Strong knowledge of HR policies, practices, and employment laws
  • Excellent organisational skills and ability to manage multiple tasks and priorities
  • High level of accuracy and attention to detail
  • Strong communication and interpersonal skills
  • Proficient in using HRIS and other HR-related software
  • Ability to maintain confidentiality and handle sensitive information
  • Proactive and self-motivated, with a strong commitment to delivering high-quality work
  • Ability to work effectively both independently and as part of a team
  • Proficiency in Shireburn Indigo is considered to be an asset.
