Role Overview
The Senior Specialist, HR works in collaboration with HR Director and supports Managing Director Korea to oversee and manage HR operations in HOYA Surgical Optics Korea (HSOK)
As the primary point of contact for all HSOK employees and by fostering open communication, she will ensure employees feel heard and supported, contributing to a positive work environment.
This role will also implement strategic local initiatives and drive global HSO initiatives to contribute to the growth and success of HSOK.
Duties and Responsibilities
Policy Implementation and Strategic Initiatives
- Adopt and integrate relevant government directives and programs aimed at improving employee benefits
- Lead the design and rollout of employee engagement and employer branding strategies to position the company as a top-tier employer
- Support the MD in assessing organizational health, recommending interventions to improve agility, engagement, and performance
- Support programs to build a work environment that is diverse, fair, and inclusive
- Ensure that local and HSO Global HR policies are effectively communicated, adhered to, and aligned with compliance, labor laws, diversity, and inclusion
- Assist with the drafting of HR policies in accordance with industry/country best practices, and refining policies from time to time as required
- Conduct sessions to educate employees and relevant employee group
- Assist in HR transformation projects to ensure smooth adoption by employees
- Continue to drive existing workplace culture building initiatives such as EPICA Star, Outward Mindset, and explore new initiatives for the betterment of the work environment
Recruitment
- Handle end to end recruitment processes from sourcing, closing, pre-boarding to onboarding including new hire orientation and 90 days onboarding plan
- Schedule job briefs by managers to understand hiring requirements, screen candidates for suitability, arrange and conduct interviews and reference checks
- Keep the recruitment tracker updated if hirings are in progress
- Reference and be guided by the TTF framework for different positions
- Identify bottlenecks/difficulties to minimize hiring inefficiency, propose alternative hiring methods, timelines, and provide timely updates to all parties involved
- Engage recruitment agencies if required and ensure service level agreements (SLA) are signed and documented
Payroll/Benefits Administration
- Liaise with outsourced payroll vendor to manage the monthly payroll processing cycle
- Ensure timely and accurate salary payment and income tax declaration for employees
- Generate ad-hoc payroll reports as required by internal and external stakeholders
- Manage employee benefits/welfare programs
- Assist in the VCP process by monitoring completion and deadline, thereafter, preparing letters for required signatures and communication, and lastly ensuring employees are paid correctly and on time
HR Operations
- Managing employees’ contracts, leaves of absence, sick days, preparation of offer letters and other documentsrelated to employment, organizing the signing process, archiving documents
- Coordinate with other departments to ensure smooth onboarding and offboarding processes.
- Assist with all internal and external HR related inquiries or requests
- Monitor any off-cycle payments, probation confirmation, Part-time/Term contract status, and update payroll and relevant internal HR teams
- Support in expatriate management matters, such as relocation and repatriation arrangements if applicable
Employee Engagement
- Plan and assist with logistics, communication, documentation, expenses, and administrative supportfor local employees and HR-related events, visits, training, teambuilding, and other activities
- Support and participate in annual performance management including providing guidance and advice on managing performance issues.
- Prepare internal communication messages for entire organization on HR related topics
- Gather feedback, analyze trends, and recommend solutions to leadership to drive continuous improvement and employee engagement
Data Management
- Maintain and update Oracle system, job descriptions and employee e-pfiles (personnel file, personal database)
- Ensure timely and accuratedata entry of all personnelrecords as per HOYA Corp’s requirement
Office Administration
- Handle and manage general office administration such as pantry supplies and stationeries supplies, mailing and courier, company inventories monitoring (such as IT equipment, office equipment), etc.
Vendor Management
- Monitor vendor’s performance level by ensuringthat they can deliver based on the SLA.
- Raise POs and approvals for purchase, servicecontracts.
- Coordinate and validateinvoice from vendor for processing by Finance.
- Timely renewal of vendor servicingcontract, maintenance agreements.
Others
- Assist and manage any other ad-hoc duties/projects assigned from time to time.
Requirements
Experience
- At least 6 years of HR experience
Skills/Accreditations
- Strong knowledge of Korea HR laws and regulations
- Excellent English written& verbal communication skills
- Meticulous, organized and has the sense of urgency

Academic Qualifications
- Bachelor’s degree or diploma
