Role Mission
Act as the Country Manager’s operational co-pilot—turn strategy into execution.
Drive alignment across People, Finance, and Process, ensuring Japan’s go-to-market engine runs smoothly and on rhythm.
Key Responsibilities
1. HR & People Operations
- Manage recruitment activities (JD posting, CV screening, interview scheduling) and handle onboarding/offboarding logistics.
- Maintain employee records and consolidate monthly attendance data.
- Liaise with external vendors for payroll, labor, and HR administration, ensuring SLA adherence and data accuracy.
2. Finance, Tax & Procurement
- Coordinate with suppliers to ensure all financial documents are accurate and compliant.
- Review reimbursement documents before submission to the Country Manager.
- Work with outsourced accounting/tax partners for filings and payments; maintain vendor master data.
- Support procurement workflows (PO, GR, invoice, payment) and align with delivery and finance milestones.
3. Contracts, Document Control & Executive Support
- Manage contract drafting, reviewing, and signing workflows with proper version control and documentation.
- Localize HQ policies, processes, and templates for Japan and maintain audit readiness.
- Develop and refine SOPs and playbooks to streamline Japan operations across HR, Finance, Sales, and Delivery.
4. Sales Operations
- Handle commercial documents such as quotations, invoices, tax invoices, and receipts.
- Consolidate weekly and monthly sales dashboards and operational reports.
5. Marketing & Events
- Plan and execute customer events, roadshows, and trade show logistics.
- Coordinate marketing assets with the regional team to maintain brand consistency.
- Support website localization, create local case studies, and manage social media channels (LinkedIn, Facebook).
Requirements
Must-Have
- Bachelor’s degree (preferably in Business, Communications, or Information Systems).
- Native-level Japanese and business proficiency in English or Chinese.
- Experience in HR operations, finance administration, or executive/operations support in a fast-paced environment.
- Strong command of Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent organization, time management, and stakeholder communication skills; high sense of confidentiality.
Nice-to-Have
- Experience in JP↔EN or JP↔ZH translation/interpreting for meetings and documents.
- Hands-on familiarity with HR or finance workflows.
- Exposure to CRM/ERP or procurement systems.
