Job Description
The position is responsible for managing employee off-boarding processes, ensuring compliance with repayment obligations, maintaining accurate financial records, and supporting HR operations. This role collaborates closely with Payroll, Finance, and HR team members to ensure all employee commitments are properly reconciled and documented.
Essential Duties and Responsibilities
- Reviews employee separation transactions and clearance documentation to identify any outstanding financial or program obligations.
- Communicates with employees prior to departure to explain repayment responsibilities and available payment options.
- Completes clearance forms to ensure all commitments are accurately recorded, including sign-on and retention bonuses, training reimbursements, relocation assistance, and other incentive programs requiring fulfillment.
- Coordinates with Payroll and Finance to confirm and finalize repayment amounts based on final pay calculations.
- Monitors payment plan commitments and follows up to ensure timely repayment.
- Maintains accurate and detailed records of all collection activities and communications.
- Prepares documentation and supporting materials for potential legal or escalated collection actions when required.
- Addresses disputes and resolves issues arising during the repayment process, consulting with HR leadership as appropriate.
- Compiles and distributes weekly or monthly reports on repayments, terminations, and related activity.
- Provides HR support by answering employee and manager inquiries in a timely and professional manner.
- Prepares offer letters and provides backup support to HR Specialists or other team members as needed.
- Conducts employee data audits and performs pre-payroll data validation to ensure accuracy.
- Performs additional HR or administrative duties as assigned.
Qualifications
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal abilities.
- Experience in HR operations, payroll coordination, or collections preferred.
- Ability to manage confidential information with discretion.
- Proficiency with HRIS and Microsoft Office or equivalent software tools.
