This role reports into our Macedon, NY (hybrid reporting) headquarters.
What We Need
The HR Systems Administrator is a professional role which is responsible for carrying out data processing and administrative duties for the HR Department related to data management, employee records, data analytics, and talent acquisition. This role is as the primary administrator for our HRIS system, partnering with the People Systems Analyst for changes or improvements. Attention to detail, ability to multitask and prioritize, and internal customer services skills are requirements for success in this role.
What You Will Do
HRIS/HCM System Administration
- Serves as the HRIS administrator. This includes accountability for the accuracy of all data in the HRIS system, performing regular self-audits, and providing scheduled and ad-hoc reports to the team and organization.
- Process data entry into HRIS system to include employee position changes, leaves of absences, transfers, compensation changes, new hires and terminations which are based off approved Personnel Action Notices (PAN). This requires critical thinking to ensure integrity of data and alignment with internal processes .
- Support data requests from HRIS and related systems.
- Responsible for the accurate maintenance of all HR files including timely scanning, saving and uploading to ADP/E-files.
- Responsible for reviewing and ensuring all system processes are proceeding as required pre-hire to termination in employee life cycle. Prompts functional owners as needed.
- Support internal data auditing process.
- Support system upgrades, testing, and implementation of new features.
- Support the troubleshooting of workflow processes; reassigning or escalating stalled workflows,
- Participating in various audits to ensure all required fields are completed and consistent.
- Identify process improvements and automation opportunities.
Talent Process & System Administration
- Process of new hire pre-employment processing. Escalating through compliance when applicable and supporting through resolution. Communicating appropriately to TA Specialist to manage candidate experience.
- Send communication to new hires that they are cleared.
- Ownership of new hire tracker – daily update of data, accuracy, communicating to appropriate team members and changes.
- Process first pass of rehire eligibility based on ADP personnel file data. Escalate to HRBP for review as needed.
- Ownership of recruitment bonus tracker (sign-on, relocation) for payroll processing.
- Create offer letters (internal and external using a template) based on approved requests from talent acquisition or HR Business Partners. Set up e-signature process. Save executed offer letters to appropriate files.
- Could support update and maintain applicant tracking system (ADP) with candidates’ status changes; all ATS data management is completed with an eye of ensuring data integrity, accurate reporting, and compliance.
What You Will Need To Be Successful
- Associate degree (A.A. /A.S.) in business, human resources, or related field; and three years related experience.
- Bachelor’s degree preferred.
- Three years of experience in data entry and management (changes, updates, hires, terminations) of HRIS, ATS and payroll systems (such as Workday, ADP, SAP, PeopleSoft, Paychex).
- Experience managing confidential data.
- Experience in supporting change management of HRIS systems is preferred.
