Job Title: Onboarding Specialist (Remote)

Location: Remote (USA)

Pay Rate: $18.00 – $21.00 per hour (Based on experience)

Job Type: Full-Time | Contract

Job Summary:

We are seeking a detail-oriented and customer-focused Onboarding Specialist to support new hire onboarding and ensure a smooth transition from offer acceptance to start date. The ideal candidate will have strong organizational skills, excellent communication abilities, and the capability to manage multiple onboarding tasks in a fast-paced remote environment.

Key Responsibilities:

  • Coordinate all stages of the onboarding process for new hires, ensuring a positive candidate experience.
  • Send, track, and process onboarding documents including background checks, employment verifications, and I-9 forms.
  • Communicate proactively with candidates to provide updates, clarify requirements, and resolve issues promptly.
  • Collaborate with HR, Talent Acquisition, and Payroll teams to ensure timely completion of onboarding tasks.
  • Maintain accurate and up-to-date candidate information in the HRIS or applicant tracking system (ATS).
  • Prepare and distribute new hire materials, system access credentials, and orientation schedules.
  • Support compliance with company policies and federal/state employment regulations.
  • Provide continuous improvement ideas to streamline the onboarding workflow and enhance efficiency.

Required Qualifications:

  • 1–3 years of experience in HR, onboarding, recruiting coordination, or a related administrative role.
  • Strong attention to detail and accuracy in handling sensitive employee data.
  • Excellent communication and interpersonal skills with a customer service mindset.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience using HRIS or ATS systems.
  • Ability to multi-task and manage priorities in a fast-paced, fully remote work environment.
  • Reliable internet connection and self-motivation to work independently with minimal supervision.

Preferred Qualifications:

  • Experience with HR platforms such as SuccessFactors, Workday, or Oracle HCM.
  • Knowledge of employment verification, background check, and I-9 compliance procedures.
  • Prior experience supporting high-volume hiring or HR operations.
