Position: Virtual Assistant (HR & Operations)

Working Hours: Monday to Friday, 9:00 AM - 6:00 PM US Eastern Time

Location: 100% Remote

Salary Range: USD 1000 - 1500/month (based on experience)

About The Company And Role

We are a healthcare services company that helps dermatology, rheumatology, podiatry, and other specialty practices across the U.S. bring radiation therapy services directly into their offices. We’ve been doing this for over 10 years with a team of radiation oncologists and support staff.

We’re looking for a Virtual Assistant (HR & Operations) to help us with day-to-day people operations and general business support. This is a great fit if you’re detail-oriented, tech-savvy, and enjoy keeping things organized behind the scenes.

What You’ll Do

HR & Onboarding:

  • Post job ads, review applicants, and schedule intake interviews.
  • Coordinate onboarding of 3-4 new hires per month.
  • Set up emails, calendars, and software access for new employees.
  • Make sure contracts and employee handbook sign-offs are complete.
  • Add new employees into payroll (via Gusto) and internal systems.
  • Partner with managers and project leads to ensure smooth handoffs during hiring.

HR Support

  • Track PTO, team schedules, and maintain the shared calendar.
  • Answer employee questions (benefits, policies, etc.) and connect with our HR consultant when needed.
  • Keep employee records and contracts organized.
  • Help roll out our first Employee Handbook.
  • Manage offboarding tasks (system access removal, exit communications).

Admin & Ops

  • Maintain the employee roster on Monday.com.
  • Support contract management and compliance tracking.
  • Handle internal communication updates and general admin tasks.
  • Jump in on small projects to keep things moving.

Tools You’ll Use

  • Monday.com - for task and employee tracking
  • Google Workspace - Gmail, Calendar, Docs, Sheets
  • Slack & Zoom - team communication
  • Gusto - payroll and HR tasks
  • ChatGPT - drafting comms, updating docs

What We’re Looking For

  • 4+ years of experience as a VA, EA, HR coordinator, or similar admin/ops role.
  • Comfortable working with cloud tools and remote teams.
  • Organized, detail-oriented, and good at juggling multiple tasks.
  • Clear communicator who can follow through and take ownership.
  • Some experience with onboarding or HR workflows (formal HR background not required).
