Role Name : Workplace and Collaboration Services (W&CS) Engineer

Role:

Workplace and Collaboration Services (W&CS) Engineer will be responsible for

  • Coordinating and managing critical support to business teams
  • Planning and coordination for local projects
  • Developing and maintaining partnerships with business users
  • Partnering with Regional Infrastructure Manager and Workplace and Collaboration Services team in Mumbai

Responsibilities:

  • Acts as a liaison with the Regional Infrastructure Manager in order to escalate and resolve subsidiary and business issues and requirements and ensure business critical infrastructure issues are resolved in the appropriate manner
  • Provide local coordination and planning for infrastructure grid projects
  • Ensure alignment with GIT standards, policies and procedures
  • Coordinate and manage with relevant people any system performance and reliability issues
  • Ensure audit compliance
  • Perform IT related administration activities and ensure 100% compliance with maintenance policies and security requirements at all times (by diligently executing the ISM checklist activities)
  • Keep all relevant stakeholders (business and GIT) fully informed on plans, progress, issues and risks
  • Promote teamwork in both the local and global organization
  • Manage PC and IT equipment procurement, replacement and maintenance, including asset tracking, leasing and budget aspects. Manage relationships with external vendors where appropriate.
  • Review support issues and provide second level site support as required (eg Active Directory, LAN/WAN communications, software deployments, email and collaboration tools)
  • Build and maintain an effective relationship with the business users

Scope of work locally for Japan:

  • IT Infrastructure Equipment Upgrades, Hardware Refresh, Set-up for New Sites, Office Moves, Office Expansion

Setup/ Refresh of IT Infrastructure devices (switches, servers, access points, controller, etc ..)

  • Preparing the budget information and submit to W&CS IT manager
  • Order devices based on specs/BOM provided by Network and Server Teams
  • Coordinate the configuration of the devices with Network and Server Teams
  • Raise necessary requests for creation of Vlans, Subnets, printer settings, etc.
  • Coordinate the mounting and installation of the devices with the Network and Server Teams, local vendors
  • Activate network and server devices and conduct testing

Assist in troubleshooting of network and server issues with Network and Server Teams and local vendors

Support implementation of Global Network-related Projects

  • Wireless Standards
  • VLANs/ Expansion LAN Network cabling

  • Performance and Reliability

  • Preparing the yearly budget and submit to W&CS IT Manager
  • Ordering and Deployment

Attend to monthly IT Helpdesk meetings to discuss KPIs, CIIs, issues

Resolve the tickets assigned to Japan WCS queue

  • Asset Inventory Tracking

Maintain assets in Oomnitza on timely and accurate manner

Review Oomnitza dashboard and Clear exception items in Oomnitza

Work with Oomnitza Team on Oomnitza enhancements and roll-out of enhancements

  • Information Security

Coordinate Risk Management Assessment of 3rd party applications with Info Security Team

Ensure Security Patches are deployed to all targeted hardwares

  • Financials

NVO Tracking and Reporting

Ariba PO Creation and GR Processing , prepare documents for payment

Assets leasing

  • Prepare and submit the Assets leasing (quotation, contract, order, receiving,..)
  • Monthly payment
  • Return assets to leasing company

Manage the printers for Field sales: ordering from Tanomall, inventory management

Disposal of IT related assets - ensure disposal is properly documented and approved as per guidelines

Conduct physical count and tagging once every two years (for company owned assets)

Cyber GRX, security review process

Conduct training of new IT Tools to end-users

Qualifications & Experience:

  • Bachelor's degree (preferred majors in Computer Science, Information Technology, Mathematics, Engineering or Business) OR equivalent related work experience.
  • Minimum of two years of experience working in an IT support environment. (preferably multinational environment)
  • Business level verbal and written proficiency in both English and Japanese
