We are a fully remote tour operator, passionate about delivering exceptional travel experiences across Italy. Our distributed team collaborates daily using cutting-edge tools, and we're looking for an experienced and resourceful IT Manager & System Administrator to support, manage, and optimize our technology infrastructure.
Role Summary
The IT Manager & System Administrator will oversee and manage all IT systems, tools, and platforms used across the organization. You’ll be responsible for ensuring smooth onboarding and tech training for new hires, managing user access and security, maintaining system performance, and supporting cross-functional teams in their use of digital tools such as Salesforce, Marketing Cloud, Microsoft 365, Front, and RingCentral.
You’ll play a key role in keeping our remote operations running efficiently and securely.
Key Responsibilities
System Administration & Management
- Administer and maintain user accounts, permissions, and security settings across:
- Salesforce (including Marketing Cloud)
- Microsoft 365 (Outlook, Teams, SharePoint, OneDrive, etc.)
- Front (shared inboxes and workflows)
- RingCentral (telephony and messaging)
- Manage integrations and ensure data sync across platforms (e.g., Salesforce-Marketing Cloud)
- Oversee email infrastructure, deliverability monitoring, and troubleshooting in Marketing Cloud
- Monitor system performance, proactively identify issues, and optimize performance
- Manage software licenses, subscriptions, and renewals
User Support & Onboarding
- Lead IT onboarding for new hires: setting up accounts, devices (if applicable), access, and training
- Create and maintain training materials, guides, and internal documentation
- Provide day-to-day technical support to team members
- Conduct periodic training sessions and refreshers for existing staff on tools and best practices
Security & Compliance
- Implement and monitor security policies across platforms (2FA, password policies, permissions management)
- Ensure compliance with data protection regulations and best practices (e.g., GDPR)
- Conduct regular audits of user access and security configurations
Required Skills & Experience
- 2+ years of experience as an IT, System Administrator, or similar role, ideally in a remote-first company
- Experience managing Salesforce and Marketing Cloud (certifications are a plus)
- Proficiency with the Microsoft 365 Business environment
- Familiarity with customer care/project management tools and phone applications (e.g., Front and Ring Central or similar)
- Experience in onboarding and training users on technical tools
- Excellent troubleshooting and problem-solving skills
- Strong communication and documentation abilities
- Comfortable working independently in a fully remote setting
Preferred Qualifications
- Salesforce Administrator or Marketing Cloud certifications
- Familiarity with Front and RingCentral administration
- Microsoft 365 Administrator certification
- Experience in the travel, tourism, or hospitality sector
- Experience managing distributed teams or supporting remote operations
