About the Role - HEC is seeking an administrator to support its global team of experts and serve its global roster of clients. When we make a commitment to our clients, we meet it, and you will be part of this work. The Administrator ensures all the pieces fall into place, running admin behind-the-scenes, meeting deadlines without errors.
This opening is for an independent contractor working 40 hours per week and is subject to a probationary period of one month.
Location - Home-based (remote, desktop). Must be online for at least six hours between 9am and 5pm PST.
What You Will Do
- Review invoices, create client bills, enter associated data and control associated documentation
- Set-up vendor payments
- Interface with vendors and clients regarding financial matters
- Interface with vendors regarding basic administrative and technical issues
- Create instructional videos for vendors using loom, usually related to finance or software matters
- Format reports
- Complete general administration tasks, often related to travel and expense management.
- Research Canadian grant and funding opportunities
- Research bid opportunities
- Develop online marketing materials
- Stay on the pulse of AI trends, identifying tools to strengthen our business
Skills You Possess

- Expert MS Word formatting, or mid-level formatting with desire to upgrade skills.
- Calendar optimization to maximize effective working hours and minimize wasted time and interruptions

- Clear and grammatically correct communication
- Initiative, with the ability to take high-level directives and translate them into the right actions, identifying straightforward, actionable solutions
- Proactive problem solving, stays two steps ahead and anticipating future needs
- High degree of organization, excellent at structuring task prioritization
- The ability to manage and meet deadlines
- Excellent attention to detail, ensuring the i’s are dotted and the t’s are crossed on everything we communicate to our clients
- System design for workflows within your purview, with the ability to set up easy-to-follow, fool-proof systems to make our work more efficient
- Very basic graphic design skills (eg: Canva)
- The ability to stretch and learn new skills as we grow the business
- Basic bookkeeping, supporting our accounting team as necessary

Skills, Experience and Education We Prefer
- Fluency in English and French
- Working ability in Spanish or Portuguese
- An eye for social media, photography, storytelling, and content creation
- Work experience in the mining or oil and gas sectors
- Customer service experience
- Undergraduate degree in any discipline

Compensation - Gross compensation will be commensurate with market rates for the applicant's region.
