What is this job about?


This role involves ensuring that all employee records are well-organized, up-to-date, and compliant with legal standards. The HR Administrative will handle tasks such as collecting and submitting work permits, maintaining employee profiles in our systems, and managing tax-related forms like FS4.


The ideal candidate will be highly organized, able to multitask effectively, and maintain confidentiality in all HR-related matters. This position plays a key role in supporting smooth onboarding and offboarding processes and providing overall administrative support to the HR team.


What exactly will you do?


  • Ensure accurate and timely collection, review, and submission of work permit documentation while maintaining legal compliance.
  • Set up and update employee profiles on PeopleHR, maintaining accurate records.
  • Gather and submit FS4 tax forms, collaborating with finance as needed.
  • Coordinate onboarding processes, including welcome materials and IT/equipment setup.
  • Organize, update, and maintain employee records to ensure compliance and accuracy.
  • Perform regular audits of employee records, ensuring they are complete and current.
  • Provide general administrative support to the HR team (e.g., reporting, scheduling).
  • Assist with offboarding by managing necessary documentation and ensuring a structured exit process.
  • Handle additional administrative tasks as needed, such as preparing reports, scheduling meetings, and supporting employee requests.


What we're looking for


  • 1–2 years of experience as an HR Admin, HR Assistant, or similar role.
  • Strong organizational and multitasking skills with the ability to handle confidential information.
  • Advanced English proficiency with strong interpersonal and written communication skills.
  • Familiarity with HR systems and proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Analytical mindset with the ability to collect, interpret, and present HR-related data.
  • Understanding of HR best practices, labor laws, and compliance requirements.
  • Ability to work collaboratively across teams and independently when required.
  • Bachelor’s degree in Human Resources Management or a relevant field is considered an asset
