Engineering Admin provides administrative support to the engineering and maintenance teams, ensuring smooth coordination of documentation, scheduling, reporting, and communication. This role is crucial in maintaining organized records, managing work orders, and assisting in procurement and compliance-related tasks.
Major Duties & Responsibilities:
Administrative Support
Assist the engineering and maintenance teams with day-to-day administrative tasks.
Maintain and update records related to equipment maintenance, repairs, and service history.
Organize and manage engineering documents, manuals, and technical drawings.
Work Order & Scheduling Management
Coordinate and track work orders for maintenance and engineering activities.
Assist in scheduling preventive and corrective maintenance tasks.
Communicate with technicians, engineers, and external vendors to ensure timely completion of maintenance activities.
Procurement & Inventory Management
Assist in purchasing spare parts, tools, and equipment for the engineering department.
Maintain an inventory database and track stock levels to ensure the availability of necessary materials.
Work with suppliers and vendors to obtain quotes and manage purchase orders.
Reporting & Compliance
Prepare and generate reports related to maintenance activities, downtime analysis, and key performance indicators (KPIs).
Ensure compliance with safety, environmental, and regulatory standards by maintaining proper documentation.
Support audits by providing required records and documentation.
Communication & Coordination
Act as a point of contact between the engineering department and other teams (production, quality, procurement, HR, etc.).
Assist in organizing team meetings, training sessions, and safety briefings.
Handle correspondence, emails, and scheduling for engineering leadership.
Qualification & Experiance
Diploma in Business Administration, Engineering Management, or a related field.
2-3 years of experience in administrative support, preferably in an engineering or maintenance environment.
Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
Experience with CMMS (Computerized Maintenance Management System) or SAP.
Knowledge of basic engineering and maintenance terminology.
