Marketing Admin Support in LATIN AMERICA

The Marketing Admin Support position is responsible for providing administrative assistance to ensure the smooth operation of the sales and marketing team. The role includes coordinating internal processes, maintaining budgets, supporting organizational reporting, and handling administrative tasks such as travel coordination, expense reports, and data tracking.


Key Responsibilities

Financial Management Support


  • Assist with budget maintenance by tracking marketing expenses and advising on future expenditures.
  • Support monthly CC (Credit Card) reconciliations and review expense reports with accounting.
  • Help facilitate invoice approvals for contractors.


Internal Support


  • Coordinate travel logistics, including hotel arrangements for events, tradeshows, and yearly meetings.
  • Manage meeting and boardroom bookings for the marketing team.


Organizational Accountability


  • Prepare and maintain marketing reports (e.g., L10, HubSpot, Media Platform Metrics).
  • Support EOS maintenance, including:
  • Vision Traction Organizer (VTO): Develop documents outlining core values, goals, and strategic initiatives.
  • Department Scorecard (Rocks): Track metrics, ensure accountability, and measure performance.
  • Contribute to the creation and management of the Accountability Chart to define roles and responsibilities across the team.


Qualifications

  • Admin Experience (3+Years)
  • Associate’s degree in Business, Marketing, or a related field (preferred).
  • Strong organizational and time management skills.
  • Proficiency in tools like Microsoft Office Suite (Word, Excel, PowerPoint), and reporting platforms (HubSpot, etc.).
  • Excellent verbal and written communication skills.
  • Ability to work independently and prioritize multiple tasks simultaneously.
