Office Manager in SPAIN

Role Description

This is a full-time role but we are open to it being a part-time position for the right person.

The successful candidate will be responsible for supporting the founders in various tasks to drive the company's growth and success.

Role Overview:

As Operations & Admin at TrustWorks.io, you will work directly with the founders, wearing multiple hats to support the company's day-to-day operations. This position includes managing financial transactions, improving operational efficiency, and ensuring that the internal workings of the company run smoothly. This is a unique opportunity to be at the heart of a growing startup and play a critical role in its success.

Key Responsibilities:

Financial Management:

• Oversee all financial transactions, including invoice and receipt management, accounts payable and receivable, and ensure accurate data entry for well-organized financial records.
• Reconcile bank statements and financial accounts, maintaining up-to-date and accurate records.
• Prepare and maintain financial reports, including monthly and quarterly financial statements (Balance Sheet, Profit and Loss statement, Cash Flow statement).
• Assist with budgeting, forecasting, and providing insights into financial performance to guide decision-making.
• Collaborate with external accountants and auditors during financial reviews to ensure compliance with financial regulations.

Operational Efficiency:

• Develop, implement, and optimize internal processes to enhance operational efficiency and support the company’s growth.
• Ensure that the day-to-day operations are executed effectively, and that the company’s goals are achieved in a timely manner.
• Support HR tasks such as posting recruitment ads, managing the onboarding process for new hires, and assisting with relocation needs.

Strategic Support:

• Work closely with the founders to provide strategic input and support in key decision-making processes.
• Take on special projects and cross-functional tasks that drive the company’s success, including market research, product management support, and partner engagement.

General Administration:

• Manage day-to-day administrative tasks, ensuring smooth operations across the company.
• Handle communication and coordination with external partners, clients, and vendors.

What We’re Looking For:

Experience & Skills:

• Experience in bookkeeping.
• Excellent attention to detail, organizational skills, and the ability to work independently with minimal supervision.
• Excellent communication skills in English and Spanish.
• Advanced Excel skills, with the ability to analyze financial data and prepare comprehensive reports.
• Familiarity with the startup environment and a good understanding of startup culture.
• Experience in operations management or a similar role within a fast-growing company is a plus.
