Job Overview


WBCSD is seeking a highly experienced and proactive Executive Assistant and Legal Secretary to provide dedicated support to the Chief Education Officer & Corporate Secretary. This role is critical in ensuring the smooth functioning of high-level governance activities, administrative operations, and effective collaboration with members of the ExCo and their offices. The ideal candidate is mature, self-starting, and adept at handling a fast-paced, professional environment with confidence and discretion.


Main Responsibilities

Diary and Schedule Management

· Coordinate and manage the Chief Education Officer & Corporate Secretary’s diary, ensuring efficient scheduling and prioritization.

· Organize appointments, events, and travel arrangements, anticipating needs and resolving conflicts proactively.

· Handle expense claims and expense management with accuracy and timeliness.


Meeting Coordination

· Maintain distribution lists and plan, organize, and facilitate in-person and virtual meetings for the Executive Committee and sub-committees.

· Support the preparation and circulation of agendas, briefing documents, and meeting materials.

· Provide hands-on technical support for virtual meeting platforms to ensure seamless execution.

· Accurately record, prepare, and distribute minutes for high-level meetings, ensuring compliance with governance requirements.

· Maintain confidentiality and ensure timely delivery of all related documentation.


Administrative and Legal Support

· Draft, format, and proofread a variety of documents including contracts, presentations, reports, and correspondence using MS Office (Word, PowerPoint, Excel) and Adobe Acrobat.

· Support legal and governance tasks, such as preparing board resolutions, contracts, memorandums of understanding and maintaining governance records.


Stakeholder Management & Problem Solving

· Act as a key liaison between the Chief Education Officer & Corporate Secretary and internal/external stakeholders, ensuring clear communication and follow-up.

· Build strong relationships with ExCo Member’s Executive Assistants / Chiefs of Staff to support engagement, collaboration and effectiveness.

· Anticipate the needs of the Chief Education Officer & Corporate Secretary, providing solutions to challenges with minimal supervision.

· Drive continuous improvement in administrative processes and governance practices.


Qualifications, Skills and Experience

The candidate should have at least 10 years of extensive experience working in an Executive Assistant and/or Legal Secretary, ideally supporting senior leadership teams.

  • Strong organizational skills with exceptional attention to detail and ability to handle multiple priorities simultaneously.
  • Added advantage if you have familiarity with governance and compliance practices and supporting legal or corporate secretary functions.
  • Previous experience working with a multidiscipline project team on an international basis to deal with differing languages, time zones and cultural expectations would be advantageous.
  • Good team spirit and enthusiasm to work in a multi-cultural environment and the ability to build, nurture and work effectively in a team and with project members, partners and stakeholders.
  • Proactive in taking initiatives and working independently towards agreed objectives.
  • Outstanding prioritization, time and project management and organization skills, with an ability to work effectively under pressure, whilst still paying attention to detail and maintaining a strategic overview.
  • Excellent communication skills in English (written and spoken) and with other languages considered as an asset.


The position is fixed term and is based in Amsterdam or London and travel may be required.
