Summary:
Anaphite is seeking an enthusiastic and proactive HR Coordinator to support our HR Manager in all areas of HR during an exciting period of growth. As a member of the team, you will contribute to the smooth running of HR operations and play a key role in creating a positive employee experience as we scale from 32 to 53 employees.
This role offers a unique opportunity to grow alongside our company, taking ownership of small HR projects and initiatives while providing day-to-day support in recruitment, onboarding, employee engagement, and HR administration. Working in a dynamic start-up environment, you’ll have the chance to make a real impact by helping to shape our people processes and culture.
We will support candidates who are working towards an HR qualification or would like to do so in the future.
Responsibilities/Duties:
Recruitment & Onboarding/Off boarding
- Assist with job postings, CV screenings, and interview scheduling. Communicate with candidates to ensure a smooth recruitment process;
- Prepare new hire paperwork, support induction processes, and exit procedures and
- Monitor end of probation reviews, alerting line managers as necessary when reviews are overdue.
Employee Relations
- Serve as the first point of contact for employee queries regarding HR policies, procedures, and employment terms;
- When necessary, assist the HR Manager with note taking when handling employee grievances, disciplinaries, flexible working requests in line with company policies and UK employment law and
- Monitor and follow-up on forms & processes, to ensure that policies are adhered to.
Compliance & Policy Management
- Assist in updating and distributing company policies to ensure they are up to date and compliant with UK employment laws and best practices and
- Assist in producing process maps for existing and future policies.
Training & Development
- Produce manuals for RSC (Royal Science of Chemistry) Accreditation;
- Assist the HR manager with training request forms and booking training for employees;
- Research and select appropriate training providers for different training requirements;
- Ensure that all certificates are uploaded on our HRIS and expiry dates are updated;
- Assist the HR manager with the implementation of an LMS system for compliance training and
- Act as the RSC Coordinator for our mentorship scheme programme and support candidates through the process accordingly.
Performance Management
- Support the performance management process, ensuring timelines are adhered to;
- Assist the HR manager in developing these processes and templates where necessary.
- Employee Records Management;
- Accurately maintain and update employee files and databases, ensuring confidentiality and compliance with GDPR and
- Proactively maintain accuracy of HRIS by promptly updating employee details as changes occur.
Payroll & Benefits Administration
- Support the administration of employee benefits programs, including assisting employees with benefits questions and liaising with benefit providers as needed;
- Collate paperwork for payroll; starters, changes, and sickness absence, one off changes and update HRIS accordingly for monthly payroll report and
- Support the HR Manager in reviewing existing benefits & implementing new benefits into the organisation.
HR Projects:
- Assisting the HR Manager to develop dashboards & other areas within our HRIS system;
- Working with colleagues to improve existing learning projects;
- Support the HR manager to create and send out pulse & engagement surveys and
- Provide support in change management processes related to organisational restructuring.
EDI & Health & Wellbeing
- Support the HR manager and Executive Assistant to organise EDI & Wellbeing initiatives to foster an inclusive workplace;
- Promote and embed EDI principles across all HR processes, ensuring that recruitment, promotions, and other HR practices are inclusive and free from bias;
- Monitor employee wellbeing and absence trends, and work with the HR manager to address any underlying issues impacting employee health;
- Organise Occupational Health referrals and request medical reports as appropriate and
- Alongside the Executive Assistant, deal with arrangements in the event of births, operations, long term sickness and bereavements.
Required Proficiencies/Experience:
Essential:
- Qualified or working towards CIPD Level 5 or equivalent experience;
- Demonstrable experience working in an HR Operations environment;
- Excellent organisational skills with high attention to detail;
- Proactive and able to manage conflicting priorities;
- Ability to maintain a high level of confidentiality;
- Excellent written and verbal communication skills;
- Able to work with independently with minimum supervision;
- Confident to liaise with people across all levels of the organisation;
- Possess a good understanding of current employment law and HR best practices and
- Resilient & Adaptable to changing priorities.
Desirable:
- Bachelor's degree in Human Resources or a related field;
- Experience of using Bob as a HRIS;
- Experience of using LinkedIn Recruiter as a recruitment tool and
- Working in a start-up environment.
Salary/Benefits:
- Base Salary: £30,000 - £35,000 annually depending on experience;
