Strong and modern IT is one of the strategic success factors for the future competitiveness of Hapag-Lloyd. For this reason, the size of IT organization in Gdansk will soon reach 400 experts in various technology, service and project delivery areas. We want to optimize internal administration and governance effort for the IT team in Gdansk as well as adjust ways of working to the practices across other Hapag-Lloyd sites where IT teams are based. Therefore, we are looking for a talented and ambitious person willing to apply for the role of Tech Centre Governance and Admin Specialist, reporting to the Head of Tech Centre in Gdansk.
- Coordinate various initiatives for IT teams based in Gdansk in areas related with both IT initiatives as well as KC Gdansk areas.
- Content Creation & Communication: liaison with Knowledge Center (KC) management team, IT Communication team as well as Hapag-Lloyd (HL ) Communication experts to support creation of communication content for internal and external platforms, including social media updates, newsletters, and short reports.
- Data Management & Reporting: Collect, analyze, and prepare various reports and presentations for team and leadership meetings; track budget expenditure and assist in managing related data; ensure that all relevant data is collected, verified, and stored appropriately for ongoing projects.
- Calendar Management & Coordination, support the Head of Tech Centre and the Gdansk IT Management team by overseeing the scheduling of meetings, ensuring proper time coordination with support staff from Poland, Germany, and India; assist in managing the director's calendar, coordinating appointments, preparing the agendas, taking minutes, and resolving potential conflicts in meeting schedules.
- Business Travel Support and Meetings/Events coordination: Organize and book travel arrangements such as hotels, restaurants, taxis, and other related logistics for business trips; Ensure smooth coordination of travel plans, staying updated on travel policies and requirements.; assist with the organization and coordination of on-site meetings and events including cl.,visitor management, ensuring logistics and preparations run smoothly.
Qualifications - Language Skills: Fluent in English, with strong written and verbal communication.
- Communication: Excellent interpersonal and communication skills, both in formal business settings and across cultures.
- Business Etiquette: Understanding of professional conduct and etiquette, especially in handling executive-level correspondence and communication.
- Educational Background: Preferably a student or graduate in Business Administration, English Language, Social Media Communication, Marketing, or IT.
- Technical Skills:
- Proficiency in Microsoft Office tools (PowerPoint, Excel, and Outlook).
- Experience with social media platforms and content creation tools.
- Organizational Skills: Ability to multitask, prioritize, and manage time effectively while working across multiple teams and geographies.
