Note: This position is a contract for 4 to 6 months.


As Move & Reception Coordinator, you are the first point of contact, you'll handle phone calls, greet visitors, manage mail, and maintain office supplies. You'll also create RPs for incoming leads, set up CRM accounts, and manage internal agent accounts.


You'll support the entire move process by creating and managing relocation plans, providing quotes, coordinating moves from storage, generating work orders, and handling special projects, ensuring all documentation is accurate and timely.


Key Responsibilities:

Reception Duties:

  • Answer phone calls, take messages, and direct them in a professional manner.
  • Greet and assist visitors, ensuring a welcoming experience. Ensure all clients sign in upon arrival and departure.
  • Manage incoming and outgoing mail and oversee office supplies.
  • Handle the MLS mail-out and broker-of-record program on a daily basis.
  • Generate weekly call reports every Friday and sales reports every Wednesday.
  • Maintain and generate monthly sales and move manager reports.
  • Prepare and submit reports as directed by management, ensuring accuracy and timeliness.
  • Create RP for incoming leads, CRM accounts, and International agents accounts with accurate information.
  • Assist with marketing tasks when required.


Move Coordination duties:

  • Create, manage, and maintain removal plans in Moveware and physical files.
  • Follow the move management process throughout the entire lifecycle of each move.
  • Provide accurate quotations to private clients, agents, and corporate accounts, or set appointments for Sales Representatives as needed.
  • Create necessary work orders for each move.
  • Coordinate moves out of storage and manage storage access requests.
  • Create and manage purchase orders.
  • Work on special projects as required, contributing to the continuous improvement of our services.


Special Projects:

  • Smile Foundation - record keeping and entering data into Moveware for shipments coming into the warehouse.
  • Norma King - record keeping and entering data into Moveware for shipments coming into the warehouse.


Qualifications:

  • Strong communication skills, both written and verbal, with the ability to interact professionally with clients, vendors, and team members.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational and time management skills with attention to detail.
  • Ability to handle multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
  • Customer-focused with excellent interpersonal skills.
  • Ability to work both independently and as part of a team.
