Job Role: IT Support and Specialist
Work Schedule: Monday - Friday 9 AM - 5 PM (AU Time Zone)

Who The Client Is: A 3PL (Third-Party Logistics), Print, and Mail service provider, the company operates with a strong focus on in-house management of all operations. Based in Sydney, the company values efficiency, precision, and innovative solutions in logistics and related services, with a commitment to never letting customers down. As part of its ongoing growth, the company is expanding its team by adding an offshore Operations Assistant, who will play a key role in ensuring the smooth day-to-day operations of the business.
Role Overview: The Operations Assistant will provide essential administrative and operational support to the Operations Director and the broader A&O team. This full-time remote position is crucial to ensuring the efficiency of daily operations, project management, workflow optimization, and communication between different departments. The Operations Assistant will work closely with various internal systems, including Mintsoft, Starshipit, Hubspot, and project management tools like Asana and Notion. A keen interest and knowledge of A.I. tools and applications are of benefit to the success of this position.
Key Responsibilities:
IT Systems Maintenance and Support:
- Provide day-to-day support for A&O's IT infrastructure, including Google Drive, Google Admin, Adobe suite (InDesign), HubSpot, Mintsoft, Notion, and Asana for project management
- Oversee the integration and automation of workflows using Zapier
- Manage file-sharing and document management through ShareFile
- Support financial integrations and troubleshooting in Xero, GoCardless, Chargebee, and Stripe
- Assist in managing CRM and quoting systems like HubSpot, Quotient, and Qwilr
- Conduct regular system health checks, updates, and backups to ensure systems run efficiently and securely
- Maintain document repositories and standard operating procedures (SOPs) in Notion and Scribe
- Troubleshoot software tools used for inventory and e-commerce management like Gemini
Technical Support:
- Offer virtual IT support to both onshore and offshore teams, troubleshooting technical issues and resolving them in a timely manner
- Assist with onboarding new employees by setting up user accounts, configuring system access, and ensuring smooth integration into A&O's technology environment
- Collaborate closely with Nixon Technology's onshore IT team for complex technical issues related to setup, hardware, and security, while working with the software consultant for integrations and software troubleshooting
AI Application Management:
- Maintain and update AI-driven applications and tools used within A&O, ensuring they integrate smoothly with current systems
- Monitor performance and ensure all AI solutions are optimised for operational efficiency
- Troubleshoot and enhance AI functionalities as needed, working closely with the IT team to maximise the effectiveness of these technologies
Collaboration & Communication:
- Act as a liaison between the offshore IT support team, the onshore IT team provided by Nixon Technology, and the external software consultant
- Ensure transparent communication regarding IT updates, incidents, and requirements
- Document processes, create support manuals, and provide training to employees on system usage and best practices for tools like Google Admin, HubSpot, Scribe, and ShareFile
Standalone Systems and Data Management:
- Support and maintain standalone tools such as Gamma for data management, analysis, and reporting
- Ensure that standalone systems are secure, up-to-date, and functioning optimally
Requirements
- Strong technical background with experience in cloud-based systems, particularly Google Drive, Google Admin, Asana and Notion
- Familiarity with Warehouse Management Systems such as Mintsoft and inventory management tools like Gemini
- Proficiency with workflow automation tools like Zapier
- Proven experience in providing remote IT support for file-sharing and document management platforms (e.g., ShareFile, Notion)
- Experience working with AI applications and integrations
- Ability to work independently, troubleshoot, and resolve IT issues in a remote environment
- Strong communication skills to effectively collaborate with both offshore and onshore teams
- Familiarity with system security practices and data privacy regulations
Education & Experience:
- Bachelor's degree in Information Technology, Computer Science, or a related field preferred.
- Previous experience in IT support, systems maintenance, or technical support roles
- Experience working with international and remote teams is a plus
