About The Role

You own the operational backbone of a multi-entity, multi-country employer: full compliance with local regulations everywhere we employ people, flawless payroll and benefits, management of our EOR partners, and a structured hiring process across countries. You run it hands-on and end to end, and you report directly to the CEO. You're supported by a part-time recruiter and a dedicated office manager (0.4 FTE), so sourcing and office management are off your plate. The focus is execution, not culture and strategy work. This role is about making a complex international setup run flawlessly.

What You'll do

  • Own employment compliance: Full compliance with local regulations across our own entities, EOR markets, and freelance engagements. Contracts, policies, working time, terminations, statutory obligations.
  • Oversee payroll and benefits: Accurate, on-time payroll across all entities and providers. Benefits administered end to end with Finance and external providers. Audit-ready at all times.
  • Manage the EOR setup: Service quality, cost, onboarding and offboarding, and the call on when a market moves from an EOR to our own entity.
  • Steer recruiting operations across countries: A structured, results-focused process in every market: clear stages, disciplined timelines, compliant offers and contracts. We have an experienced dedicated part time recruiting freelancer who runs sourcing and pipeline execution; you own the planning, offers, and contracts.

Who We're Looking For

  • You've owned the function: You ran HR operations end to end at an early-stage, VC-backed startup, reporting to a Head of People or equivalent, ideally including EOR management.
  • Structured and results-focused: You keep multi-country hiring processes on track without dropping a step. Process discipline without bureaucracy.
  • German, strong on labor law: Fluent German speaker with working knowledge of German and Swiss labor law at a minimum.
  • Great across cultures: You work naturally in a team of 15+ nationalities across three continents.
  • Built for ambiguity: Incomplete context doesn't slow you down. You structure the mess, decide, and deliver.

How We Work (Our Values)

  • Own the Uncertainty: We move fast and thrive with incomplete context. For us, ownership means naming what you don’t know, bringing the right people into the room, and executing a path forward. You don't wait for a perfect playbook—you write it.
  • Show Up When It Matters: Real high-performance is sustainable. Pretending every day requires 100% capacity leads to burnout, and we don't play corporate theater. But when a critical milestone arrives—a major client launch, a tight deadline, or a teammate in need—you bring everything you've got. Knowing the difference is the job.
  • Earn Trust Through Execution: Titles and tenure don't grant trust; consistent behavior does. We build trust daily by doing exactly what we said we would do and delivering bad news early and unvarnished.
  • High Bar, Low Ego: We treat each other with deep respect, especially when we disagree. We hold an exceptionally high standard and push each other to clear it, but we believe that radical directness and genuine kindness belong in the same sentence.

Why Join Us

  • Own a whole function, not a slice of one: You run HR operations end to end and report directly to the C-Level. No layers between you and the decision.
  • Scope you'd normally wait years for: Own entities in three countries, EOR markets from Canada to South Africa, freelancers beyond that. You handle international employment complexity that usually sits two levels up.
  • A mission that holds up: Mental wellbeing for more than 3 million people across 60+ countries, built by a team that works the way it preaches.
  • Write the playbook: At Series A, the systems you run are the systems you build. How you set up employment here becomes how this company employs people for years

Compensation & Benefits

  • Base Salary: €75,000-105,000 gross per year, tiered by location and experience level.
  • Vacation: 30 days of paid vacation per year.
  • Health & Wellbeing: Full access to the Kyan Health platform for you and your family, alongside local wellness benefits.
  • Hardware & Setup: Top-tier remote work toolkit (MacBook Pro, external monitor).

Location & Flexibility

  • 100% Remote (with Core Hours): Work from anywhere within the Portugal to Ukraine time-zone band (UTC to UTC+2). We operate asynchronously but sync during core EU business hours.
  • Compliant Employment: Contracted via our local entities or global employment partners (EOR): full compliance, local taxes, and benefits handled automatically. You will be the one keeping it that way.

Interview Process

  • CV Check
  • Get to know Kyan, Girish (30 minutes Call)
  • Get to know Dennis (45 minutes Call)
  • Get to know the 3 founders / Case Study Presentation (60 minutes Call)
  • Offer Stage: Reference check / Offer

Please note: We only accept applications submitted through our official Careers Page. Applications submitted via other channels will not be considered.
