Our client company is a fully remote, full-service sales and marketing agency specializing in working with clients in the luxury real estate investment field. Right now they are focused on two main clients: a private equity fund that acquires luxury vacation homes for accredited investors, and a new fractional development on a private island in the Caribbean.


They provide comprehensive marketing and sales strategy execution, acting as a full-service marketing agency. Their expertise extends to managing sales and marketing remotely, handling everything from launching new funds to maintaining clients’ CRM systems.


Their team operates 100% remotely, ensuring flexibility and efficiency. As the company continues to grow and its clients’ operations expand, they are looking for new team members to grow with them.


About the position

We’re looking for a versatile hire who will work with the sales teams, operations team, HubSpot team and outside marketing agencies. 


The hire can eventually become the right hand to the company President and take over her responsibilities so she can focus on the business growth. This is a crucial role in the company because it requires an understanding and a grasp of multiple systems and key processes for the client's success.


About You

  • You are a self-starter who has grit and tenacity to improve organization processes;
  • You’re experienced in Email Marketing (newsletter, list building, lead generation);
  • You have working experience with Hubspot;
  • You understand how marketing and sales departments work together;
  • You’re familiar with website design and Wordpress for creating pages, posts and optimization;
  • You are proactive, curious, love to take charge of projects and bring ideas to the table;
  • You are analytical, detail-oriented and a holistic thinker;
  • You have experience working remotely and independently;

  • Need constant supervision and guidance;
  • You are not creative.


Responsibilities 

  1. Create scalable processes for new product launches and ongoing products. An example is: collaborate with sales and marketing teams to develop a detailed sales process map, including CRM status updates and email schedules. This will guide the current sales team and help train new members. A working knowledge of the HubSpot CRM and customer personas is required. The candidate will be trained on the specifics. 
  2. Streamline marketing and sales operations:
  • Develop content calendars and libraries to be shared with prospects. Work with sales teams to create relevant sales and marketing content and ensure timely communication with prospects.
  • Send out marketing newsletter emails on time via Hubspot.
  • Follow up with content creators and other stakeholders to keep projects on track. Ensure any needed assistance from the team is provided. 

3. Provide marketing and sales team support:

  • Manage 3D modeling, topographic map creation, renderings, and photography. Work with operations teams to gather project requirements, find local professionals, and communicate requirements to ensure fund properties are presented optimally to potential investors. 

4. Coordinate special projects like website design and redesign in Wordpress:

  • Take charge of these projects by finding website developers, obtaining quotes, recommending the best options, compiling design requirements from stakeholders, and overseeing the project to ensure it is completed on time and within budget.

5. Handle day-to-day tasks:

  • Manage tasks such as webinar creation (via WebinarJam) and upload across multiple channels.
  • Upload property photos on the website as we launch new properties.
  • Get on Zoom calls to meet with the team.
  • Complete HubSpot training to develop knowledge and skills required to perform the job well.

6. Problem-solving and proposing solutions: Identify and implement improvements that impact the company's vision.


Requirements

  • Background: project management experience especially in a dynamic environment with multiple stakeholders. Preferred experience in the tech and advertising industries. 
  • 4 to 5 years of experience as a Project Manager, or similar, with a proven track record
  • Knowledge of organizational effectiveness and operations management.
  • Familiarity with business and financial principles.
  • Experience using MS Office and G-Suite applications, particularly Excel/Sheets when it comes to project management.
  • Excellent communication skills. We launch properties in different time zones and cultures all over the world from Europe to Central America. You need to be able to communicate with these stakeholders and communicate the needs to photographers, videographers, and 3D modelers clearly and effectively. The marketing, operations and web dev teams can be located anywhere from Europe to the United States and you need to be able to coordinate with them and oversee execution. 
  • Leadership ability.
  • Familiarity with HubSpot.
  • Outstanding organizational skills.
  • Plus: Marketing agency industry experience.

  • Starting salary is $2500-$3500 gross depending on experience with a possibility of a quarterly bonus based on performance. You will be  an independent contractor responsible for your taxes
