This position works closely with cross-functional teams to drive operational excellence, improve processes, and ensure high-quality outcomes for clients. The role is designed for individuals with project management or coordination experience looking to further develop their expertise while contributing to meaningful client and business initiatives.

Responsibilities

Project Coordination & Execution

  • Planning Support: Assist in developing structured project plans under guidance from senior project managers, aligning tasks with the company's strategic vision.
  • Timeline Management: Manage project timelines, track day-to-day progress in regular meetings, and ensure prompt task completion.
  • Operational Alignment: Assist in prioritizing service projects, supporting bid assessments, and coordinating contract planning activities.
  • Metrics & Standards: Support the definition and tracking of key performance metrics while ensuring quality standards consistently meet service deliverable expectations.

Communication & Stakeholder Relations

  • Tailored Updates: Communicate project updates to team leads and external stakeholders, tailoring the delivery style to different audiences.
  • Risk & Decision Support: Identify potential project risks and propose mitigation strategies, consulting senior project managers or scientific leads on critical decisions.
  • Change Management: Facilitate operational discussions to ensure projects support client objectives, communicating and obtaining buy-in for changes in project direction or resources.
  • Conflict Resolution: Address minor team conflicts productively and escalate complex project issues to leadership as needed.

Process Optimization & Collaboration

  • Lifecycle Improvement: Help establish, standardize, and optimize service delivery lifecycle processes across multiple departments.
  • Bottleneck Identification: Assess overall project progress, isolate operational bottlenecks, and suggest actionable improvements.
  • Team Engagement: Support and encourage team members, collaborating with cross-functional project teams to understand and meet their workflows needs.

Requirements

Qualifications & Experience

  • Project Management: Prior experience in project management or project coordination roles is preferred.
  • AI Competency: Direct experience working with AI or GenAI workflows is required.
  • Professional Credentials: PMP certification, or active progress toward achieving certification, is considered a distinct plus.
  • Education: Bachelor’s degree in business, science, or a related field is preferred.

Technical Stack & Core Competencies

  • Software Tools: High proficiency in the Microsoft Office suite, alongside experience navigating ERP systems and specialized project management software.
  • Communication Skills: Excellent written, verbal, and client-facing communication abilities.
  • Execution Style: Strong organizational, prioritization, and multitasking skills with an ability to perform in a fast-paced, deadline-driven environment.
  • Problem-Solving: Proven problem-solving, collaboration, and decision-making capabilities.
  • Work Drive: A positive attitude with the demonstrated ability to work independently.
  • Mobility: Willingness to undertake occasional travel for corporate meetings and technical trainings.
