Position:

• Welcoming guests and clients, offering tea & coffee and alerting associates of their guest’s arrival
• First point of contact for all internal office comms and contributing to building the office culture
• Meeting room management, clear down and assistance (troubleshooting, general help)
• Maintaining the condition of the office: liaising with building management, cleaners and suppliers for repairs and maintenance and ensuring a smooth-running office
• Managing fobs & access cards, including bike storage and lockers
• Lost property, inbound and outbound mail deliveries
• General Systemiq inbox management
• Ordering office supplies and stationery in accordance with our net zero targets
• Managing an office budget and associated credit card expenses
• Helping with Lunch & Learns, setting up Town Hall meetings
• Ordering lunches for client meetings
• Organising monthly office birthday drinks and assisting with social events
• Manage the DSE portal admin and highlighting any threats to HR
• Office onboarding for new joiners
• Health and Safety admin
• Any other adhoc tasks, as required

Requirements:

• This person needs to be in the office five days a week between 08:30-17:00
• Minimum one year experience in an Office Admin / Assistant / Co-ordinator role
• Be able to implement new processes and make the role their own
• Proficient working with Microsoft packages (e.g. Word, Excel)
• Friendly and approachable, pro-active, keen to learn and a muck-in attitude
• Punctual, highly organised and the ability to multi-task
• Works well in a high-pressured environment
• Align with our Systemiq values
