Payroll Manager
Location: Flexible (Hybrid or 100% Remote, Approved States)
Compensation: $100,000 - $120,000 annually (negotiable based on experience)
Spheros Environmental is seeking a creative, passionate, and organized Payroll Manager to join our growing team. The Payroll Manager is responsible for overseeing and managing all aspects of the organization’s payroll operations to ensure employees are paid accurately, on time, and in compliance with all federal, state, and local laws. This role leads payroll processes, systems, and staff, partners closely with Human Resources and Finance, and serves as the primary subject matter expert for payroll-related matters.
Key Responsibilities
- Manage end-to-end payroll processing for all employee populations (hourly, salaried, exempt, non-exempt, multi-state, prevailing wage etc.)
- Ensure payroll is processed accurately and on schedule, including regular, off-cycle, bonus, and special payrolls
- Experience with integrating payroll from companies acquired by Spheros
- Maintain compliance with federal, state, and local wage and hour laws, tax regulations, and reporting requirements
- Oversee payroll tax filings, reconciliations, audits, and year-end processes (W-2s, corrections, amendments)
- Serve as the primary point of contact for payroll-related inquiries, resolving discrepancies and issues promptly
- Partner with Human Resources on new hires, terminations, leaves of absence, benefits deductions, and compensation changes
- Collaborate with Finance on payroll accounting, general ledger reconciliations, accruals, and reporting
- Develop, document, and enforce payroll policies, procedures, and internal controls
- Manage payroll systems and vendors, including system configuration, testing, upgrades, and integrations
- Support internal and external audits by providing documentation and responding to inquiries
- Identify opportunities for process improvement, automation, and increased efficiency
- Other duties as assigned
- Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, or a related field (or equivalent experience)
- 5+ years of progressive payroll experience, including supervisory or management responsibility
- Strong knowledge of payroll regulations, tax laws, and wage and hour compliance
- Experience with payroll systems and HRIS platforms (multi-state or complex environments preferred)
- Proficiency with Microsoft Excel and payroll reporting tools
- Excellent attention to detail and high level of accuracy
- Strong organizational, problem-solving, and analytical skills
- Ability to handle sensitive and confidential information with discretion
- Experience with project timesheet-based systems
- Experience in the AEC industry or other consulting industries is a plus
