Role Overview:

The HR Operations Specialist will be responsible for managing the day-to-day operations of the HR department, ensuring smooth and efficient delivery of HR services to employees. This role involves maintaining employee records, managing HR processes, and providing support in various HR-related activities. The ideal candidate will have a strong understanding of HR policies, procedures, and best practices, as well as excellent organizational and communication skills.

Key Responsibilities:

  • Maintain and update employee records, including personal data, employment history, and benefits information, ensuring accuracy and confidentiality.
  • Coordinate the onboarding process for new hires, including preparing offer letters, conducting orientations, and ensuring all necessary paperwork is completed. Manage the offboarding process for departing employees, including exit interviews and processing final paperwork.
  • Manage and update the Human Resource Information System (HRIS), ensuring data integrity and generating reports as needed.
  • Assist with administrative tasks, employee benefits programs and company-related administration.
  • Provide support to the payroll department and professional service provider´s invoicing, including data entry, timekeeping, resolving payroll discrepancies and workforce management planning.
  • Ensure compliance with employment laws and regulations. Assist with audits and maintain up-to-date knowledge of HR legal requirements.
  • Serve as a point of contact for employee inquiries and concerns, providing guidance and support in resolving issues.
  • Assist in the development, implementation, and communication of HR policies and procedures. Ensure employees are aware of and understand company policies.
  • Support the performance management process, including coordinating performance reviews and tracking performance metrics.
  • Assist in organising and coordinating training sessions, workshops, and other development programs for employees.
  • Participate in HR projects and initiatives aimed at improving HR processes and employee experience.

Requirements:

  • Bachelor’s degree in Human Resources, Business Administration, or related field.
  • Minimum of 3 years of experience in HR operations or a similar role.
  • Strong understanding of HR policies, Spanish labour law, procedures, and best practices. Familiarity with HRIS and payroll systems, PayFit is a plus.
  • Excellent organizational and time management skills. Strong attention to detail and problem-solving abilities. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Suite (Sheets).
  • Excellent verbal and written communication skills. Ability to interact effectively with employees at all levels of the organization.
  • Fully bilingual in English and Spanish.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
